Photography procedures

Marketing and Communications is responsible for the coordination, storage and supply of the university photography. All photography requests must be made in advance of an event. If photography is sourced without consultation or agreement by Marketing and Communications, this will void Marketing and Communications of responsibility and further to that of any costs involved.

Marketing and Communications will coordinate internal staff members to take photographs for media purposes, small events, functions on campus and photography for record keeping.

If a photography request is deemed necessary by Marketing and Communications to be outsourced work then Marketing and Communications is responsible for contracting external work, sourcing quotes from freelance photographers for a corporate event, promotional activity and or a publication.

This is business contracted by Marketing and Communications and all images are owned and accessed through this department, art direction will be provided through a photography brief once a quote has been approved, any changes to the job will only be made through Marketing and Communications.

All photographs must have signed Talent Release Forms which are stored at Marketing and Communications with a print out of the images in question. Any images that do not have a Talent Release Form signed will not be used. Marketing and Communications has no obligation to inform staff or talent, of the use of images once a Talent Release Form has been signed unless stated otherwise in their release.

Storage of images

Images are stored on share point which is maintained and controlled by Marketing and Communications. All new photographs must be labelled, dated, have a location and credited. Talent release forms must be stored by Marketing and Communications with a print out of the images.

Procedures for sourcing images from library

Staff must book a time to look through the image library at Marketing and Communications. A record of the selected images is then given to staff, the images will be checked for talent release forms or conflict of usage. Staff will then be sent a copy of the images by either email or disc.
