Corporate Credit Card

One of the payment methods adopted by the Charles Darwin University is the Corporate Mastercard (CMC). This card is issued by the University's bankers, Westpac Banking Corporation.

The University encourages the use of the CMC. It assists in reducing the number of cheques that need to be processed by the division.

Application and issue of a university Corporate Mastercard

To apply for a university Corporate Mastercard (CMC) complete the an Application for University Corporate Mastercard (pdf 59KB)* form and forward to the Payables Manager, Finance and Asset Services, Orange 2 (Mailbox No. 21). The nominated cardholder will then be contacted by the Payables Manager to fill in various documents with personal details. These documents are:

  • Commercial card - cardholder request
  • Account details
  • CDU Certificate of Identity

Return the completed forms to the Payables Manager, who will arrange completion of all details within the forms. Completed forms are then sent to the Westpac Banking Corporation branch office for subsequent delivery to their offices in Sydney.

There is a processing period of between two to three weeks by the bank before the card is available. The applicant may receive a notification from the bank regarding a Personal Identification Number (PIN). This should be ignored and discarded as this facility (use as a debit card) has been disabled.

On receipt of the card from the bank, the Payables Manager (or delegate), who are 'Issuing Officers' for the purposes of Bank and Legislation requirements, will arrange for an mutually agreeable time for the card to be issued to the new holder. The cardholder is required to sign inter alia, a standard 'CMC Agreement' (.pdf, 26KB)* with Charles Darwin University, and the Corporate Mastercard, in the presence of the 'Issuing Officer'. The agreement basically outlines the guidelines relating to the use of the card and the responsibilities of the cardholder.

Mastercard purchases

Assets and attractive items above $1000 are not to be purchased on any Corporate Mastercard.

Urgent Australian or overseas purchases of items valued individually at $1000 or over (Attractive Items or Assets) are to be actioned using Electronic Funds Transfer (EFT) in Australia, and Telegraphic Transfer (T/T) overseas.

Processing Mastercard purchases

University Mastercard purchases are coded via a web-based program called Smart Data On-Line (SDOL). Cardholders or their proxy (some-one who will code the purchase on your behalf) receive a username, password and training to use the new system. The Coding schedule (.pdf, 19KB)* provides the dates by which purchases must be coded.
