Video conferencing
The Charles Darwin University has video conferencing facilities available for educational and administrative use as well as being available for public hire.
The facilities available for booking comprise:
- A portable IP based unit for use anywhere on Casuarina campus with network access, suitable for small groups (one-on-one, two-on-two)
- A dedicated video conferencing room in Red 6, room 6, Casuarina campus, capable of ISDN and IP connections for conferences up to 12 people
- Conferencing facilities in two auditoriums, Red 7 (Mal Nairn) and Blue 5, room 1 (Lecture Theatre), Casuarina campus, for class size conferences.
Policy
- Business hours: Monday to Friday, 8am to 5pm
- Minimum booking period: 30 minutes
- Cancellations must be in writing. Less than 48 hours notice will incur a cancellation fee of $50 + any third party charges.

Glossary of terms
Dual Stream
Dual Stream means the installation has the capacity to transmit more than one feed to remote sites. For example the video feed and a PowerPoint presentation.
IP
This provides the capacity for conferences to occur utilising the network infrastructure and therefore reducing the costs involved. It also provides a greater flexibility in locations for conferences as network ports are located all over the campus networks.
ISDN
ISDN connections run via the telephone cables. This is available at the more permanent sites and is used as a ‘backup’ in the event of a network failure.
Fees
- External clients: $165 per hour 8:00am to 5:00pm weekdays (includes GST), $220 per hour after hours.
- Charles Darwin University administration (meetings, interview panels, etc.): $50 per three hour block and/or part thereof booking and any third party charges.
- Charles Darwin University internal teaching use (Limited to direct contact between a lecturer and student/s - classes, tutorials, guest lectures, student liaison, etc.): No charge within normal working hours. Any external connection costs will apply. Mobile unit use as per normal (below).
- Mobile Polycom video conference unit: flat fee $25 for per three hour block and/or part thereof booking. Discount for long term bookings of three months only, paid in advance and non-refundable $10 per three hour booking. Clients must collect and return to ITMS
Red 3.
Booking commences from time of pickup to time of drop off to ITMS. - Internal after hours support services will be charged at $120 per hour.
- Third party charges if applicable.
Guidelines for clients
- Plan to arrive 15 minutes before start time to allow staff to familiarise you with the equipment.
- Send any notes or meeting agenda to the other parties prior to the conference.
- Keep within the scheduled time frame for your conference.
- Avoid talking over the other person. Be aware of the slight audio delay - don't rush your replies.
- Ensure any documents for presentation on the document camera are clear and use a large size font. Photocopy onto blue paper to reduce glare.
- Avoid fussy patterned clothing and fabric with small dots or stripes as these may cause strobing affect on the camera, which sends an unclear picture to the other site.
