PAAJ1110 - Proposal Status Update - New for Release 12.0.0.2

This job updates the status of Proposals as required. It has no parameter form and should be scheduled to run once daily or as required.
A proposal may have override details. For example, an override due date may be recorded, the workflow step could be completed by an administrator or the details of a proposal could be altered and the status updated as a result.

Status Update
The process for deriving statuses is described below:

• Select all Proposal Instance records other than those with a status of CANCELLED or COMPLETE.
• For each of these Proposal Instances test the following conditions in order, until a condition is satisfied:
  • If the Submit Date is null then set the Proposal Status to DRAFT.
  • If the Withdrawn Date is not null then set the Proposal Status to CANCELLED.
  • If the Proposal Transfer Status = READY then set the Proposal Status to APPROVED.
  • If the Proposal Transfer Status = COMPETE or TRANSFER then set the Proposal Status to COMPLETE.
  • If the Due Date has passed then set the Proposal Status to TIME BREACH.
  • If the Proposal Instance Steps exist and all steps have a status of COMPLETED, INPROGRESS or PENDING (except where all statuses have a value of COMPLETED) then set the Proposal Status to IN-REVIEW.
  • If Proposal Instance Steps exist and any steps have a status of FAILED then set the Proposal Status to FAILED.
  • If Proposal Instance Steps exist and any steps have a status of INPROGRESS and the Step Due Date has passed then set the Proposal Status to LATE-DECISION.
  • If Proposal Instance Steps exist and all steps have a status of COMPLETED and the Transfer Status is PENDING then set the Proposal Status to APPROVAL PENDING.

When all Proposal Instances are done, the total number of Proposals examined and the number of Proposals with each Status are reported in the RUN_LOG.

Determining the Due Date
1. If an Override Due Date is set (in Maintain Proposal - Administration), this is the Due date.

2. If the Proposal Submit Date is not recorded, then the due date is the earliest date value from all the Submit Date values of the Proposal's Items (see Maintain Element Proposal Item). Where the Submit date for an Item is not recorded, the date value of Submit Date Alias from the System Proposal Configuration (PAAW0100) page is included in this comparison.

3.If the Proposal Submit Date is recorded, then the due date is the earliest date value from all the Final Date values of the Proposal's Items (see Maintain Element Proposal Item). Where the Final date for an Item is not recorded, the date value of Final Date Alias from the System Proposal Configuration (PAAW0100) page is included in this comparison.

Note: Date Alias values in the above are determined by finding their value in the Proposal's Teaching calendar instance.
