ENRW6300 - Encumbrances

Overview

This page allows a user to view the Encumbrances for the selected student. This includes Administrative Encumbrances, and also Academic Encumbrances applied via Progression.
It provides the same information as ENRF6310 and ENRF6320, but can only be accessed via ADMW1000.
Encumbrances cannot be created, edited or deleted on this page.

Click on the Encumbrances icon in ADMW1000 to open the Encumbrances Page.
A green indicator dot on the left side of the Encumbrance icon indicates that an Encumbrance record exists for this student.

Field Descriptions

Context Student

The page heading contains the student name (PERSON.SURNAME, PERSON_TITLE PERSON.GIVEN_NAMES) e.g. 'Encumbrance for DIXON, Ms Penelope'
Note: All encumbrances are displayed for the student so, if they have multiple Admission Applications, the same Encumbrance details will display no matter which of the student's Admission Applications is selected.
In a shaded panel, further personal details are displayed for the context student as shown below.

Field: Description:
Person ID The student's Person ID

PERSON.PERSON_ID
Date of Birth The student's Date of Birth

PERSON.BIRTH_DT
Surname The student's Surname

PERSON.SURNAME
Gender The student's Gender

PERSON.SEX
Given Names The student's Given Names

PERSON.GIVEN_NAMES
Email Address The student's Email Address

PERSON.EMAIL_ADDR

Encumbrance Details

The table of Encumbrance records for a student can be sorted, or filtered, or exported to an Excel spreadsheet.
Expired encumbrances are not displayed by default. To display expired encumbrances, click on the Include Records toolbar button and then click on the Include Expired button. A blue tick displays on the button and any expired records are added to the display.
To make the expired encumbrance records no longer display, click on the Include Expired button once again and the tick disappears along with the expired encumbrances.

Field: Description:
Encumbrance This is the code of an institution-defined Encumbrance Type. These are defined in ENRF6200 and have one or more Encumbrance Effects associated with them.

Description This is the description recorded for this Encumbrance Type in ENRF6200.

ENCUMBRANCE_TYPE.DESCRIPTION
Category This is the Category of the Encumbrance Type, and may be ADMINISTRATIVE or ACADEMIC. This is also recorded in ENRF6200.

ENCUMBRANCE_TYPE.CATEGORY
Start Date The date when this Encumbrance takes effect.

PERSON_ENCUMBRANCE.START_DT
Expiry Date The date when this Encumbrance expired/expires.

Field: Description:
Course Version The Course that this encumbrance applies to. This applies to Academic Encumbrances only.

STUDENT_COURSE_ATTEMPT.COURSE_CODE + COURSE_VERSION.COURSE_VERSION
Progression Status The progression status of the student in this course. Progression Statuses are system statuses which are described in PRGF1300. A student's progression status in a course may change under the influence of progression testing and the application of academic encumbrances. Progression Status values are EXPULSION, GOODSTAND, PROBATION, SHOWCAUSE, SUSPENSION, UNDCONSID.
This applies to Academic Encumbrances only.

STUDENT_COURSE_ATTEMPT.PROGRESSION_STATUS
Acad/Prog Period The Academic Period/Progression period instance in which a progression rule was failed to cause this encumbrance to be applied.
This applies to Academic Encumbrances only.

STUDENT_PROGRESSION_PERIOD_V.PRG_PERIOD
Course Status The Status of the Student Course Attempt for which the academic encumbrance has been applied. Student Course Attempt Statuses are system statuses which are described in ENRF01P0. A student's course attempt status changes depending on what is happening in their enrolment. Course Attempt Status values may be: COMPLETED, DISCONTIN,ENROLLED, INACTIVE, INTERMIT, LAPSED or UNCONFIRM. This applies to Academic Encumbrances only.

STUDENT_COURSE_ATTEMPT.COURSE_ATTEMPT_STATUS
Failure Type When a student has failed a progression rule a number of times, this indicates whether its outcome has been applied because the progression rule has been failed in consecutive progression periods (CONSECRPT) or otherwise (REPEAT). Where the outcomes are resulting from a single failure of a Progression Rule this value is null.

PROGRESSION_RULE_OUTCOME.PRG_RULE_REPEAT _FAIL_TYPE
Outcome Type The progression rule outcome type may be EXCLUSION, EXPULSION, MANUAL, NOPENALTY, PROBATION or SUSPENSION. Where applicable, the outcome type is linked to an encumbrance (with one or more system-defined encumbrance effect types) and a restricted credit point value or a restricted attendance type value. This applies to Academic Encumbrances only.

STUDENT_PROGRESSION_OUTCOME.PROGRESSION_OUTCOME_TYPE
Rule/Ref Code Identifier for the Progression rule that the student failed which caused them to be encumbered. These are recorded as 'Rule Codes' or 'Reference' values when Progression Rules are applied. e.g. For Course Versions in PRGF5200.

PROGRESSION_RULE_APPL.PROGRESSION_RULE_CD or PROGRESSION_RULE_APPL.REFERENCE_CD
Rule Category The institution-defined Progression Rule Category of the progression rule that was failed by the student. Progression Rule Categories are defined in PRGF1600. The Rule Category of a Progression rule determines the range of options available when creating the rule.

STUDENT_PRG_RULE_CHECK.PROGRESSION_RULE_CAT
Authorised By The person who authorised the Administrative Encumbrance in ENRF6310. For Academic Encumbrances this will always be a system user.

PERSON_ENCUMBERANCE.AUTHORISING_PERSON_ID
Expiry Authorised The person who expired the Administrative Encumbrance in ENRF6310. This applies to Administrative Encumbrances only.

Encumbrance Effects Tab

This tab lists the effects associated with the selected Encumbrance. These are displayed in a table that can be sorted and searched or exported to an Excel spreadsheet. Expired Encumbrance effects can be included here in the same way as for the Encumbrance records listed above.

Field: Description:
Effect Type The way the encumbrance impacts the student. These encumbrance effects are associated with an encumbrance type in ENRF6200.

Description The description of the encumbrance effect. Recorded in ENRF6200.

ENCUMBRANCE_EFFECT.DESCRIPTION
Start Date This date on which this encumbrance effect will take effect.

PERSON_ENCUMBRANCE_EFFECT.PEE_START_DT
Expiry Date This date on which this encumbrance effect expires.

To View a Student's Encumbrance Records

  1. Go to ADMW1000.
  2. Search for the student and select their Admission Application record.
  3. Click on the Encumbrances icon at the top of the Update Panel and all the encumbrances that apply to that student are displayed.
  4. To examine details for a particular encumbrance, select that record in the table and its details are displayed in the tabs below.
  5. Expired encumbrances are not displayed by default. To display expired encumbrances, click on the Include Records button and then click on the Include Expired button. A blue tick displays on the button and any expired records are added to the display.
    To make the expired encumbrance records no longer display, click on the Include Expired button once again and the tick disappears along with the expired encumbrances.
  6. After you have finished on this page, click on the Close button to return to ADMW1000.
