STAF1130 - Maintain Government Scholarship Type

Purpose The purpose of this function is to maintain Government Scholarship Types.

This form is used to maintain Government Scholarship Types. Scholarships mapped to a Government Scholarship Type where the 'Commonwealth Scholarship' indicator is not selected will be reported in the Enrolment File against data element 487 - Scholarship Type Code. Scholarships mapped to a Government Scholarship Type where the 'Commonwealth Scholarship' indicator is selected will be included in the Commonwealth Scholarships file and reported against data element 545.
Government Scholarship Types can be mapped to user defined Scholarship Types within context of the research subsystem via RESF31A0 - Maintain Scholarship Types, or alternatively can be defined against a Scholarship Version in context of the scholarships subsystem via SCHF0500 - Maintain Scholarship Version.

This form includes a button that navigates to RESF31A0 and queries all user-defined Scholarship Types mapped to the context Government Scholarship Type.

  • Government Scholarship Type
  • Description
  • Commonwealth Scholarship indicator
  • Closed Check box

 Rules/Notes:

The following are examples of Government Scholarship Types (E487):

  • 00: Not a scholarship indicated below.
  • 01: Australian Postgraduate Award (APA) Scheme.
  • 02: International Postgraduate Research Scholarship (IPRS) Scheme.

The following are examples of Commonwealth Scholarship Types (E545):

  • 1: Commonwealth Education Costs Scholarship (Ordinary- CECS)
  • 2: Commonwealth Accommodation Scholarship (Ordinary -CAS)
  • 3: Commonwealth Education Cost Scholarship for Associate Degree (CECS – Associate Degree)
  • 4: Commonwealth Accommodation Scholarship for Associate Degree (CAS – Associate Degree)

Note: The data type for the Government Scholarship Type field is alphanumeric.

The Scholarship Type navigation button links to form RESF31A0 (Maintain Scholarship Types)

Commonwealth scholarship types defined here may be mapped to institution-defined scholarship type values in RESF31A0 and reported to government as element 545 in in the Commonwealth Scholarship extension of the HE Student data group.

Scholarship types defined here with Gov Scholarship values of 9,10,11. may be mapped to institution-defined scholarship type values in RESF31A0 and reported to government as element 487 in the Scholarship extension of the HE Course Admissions data group.

To create a new Government Scholarship type:

  • Enter Insert mode.
  • Enter the code in the Government Scholarship Type field of a blank record.
  • Enter the corresponding description for the Government Scholarship type in the Description field.
  • Save.

Rules/Notes:

The Government Scholarship Type may be repeated, but cannot have the same Commonwealth Scholarship check box value as the other record with that Government Scholarship Type.

To modify a Government Scholarship type:

  • Find the record to be modified.
  • Modify the record as required.
  • Save.

Rules/Notes:

Once in use, a Government Scholarship type should not be modified.

Cannot close a Government Scholarship Type that is mapped to an open user-defined Scholarship type.

The Commonwealth Scholarship indicator for a Govt Scholarship Type cannot be updated directly. A new record should be created with the indicator changed and then the old record should be closed.

To delete a Government Scholarship type:

  • Find the record to be deleted.
  • Locate the cursor in the record to be deleted.
  • Delete record.
  • Save.

Rules/Notes:

Cannot delete a Government Scholarship Type that is mapped to an open user-defined Scholarship type.
