The Government Snapshot Control block contains:

Rules/Notes:

Fields in Maintain Government Control Snapshot form

• Submission Year.
  The reference year to which the submission relates.
• Submission Number.
  The number of the submission.
• System Submission Type.
  An indication of whether the submission includes Commonwealth Assisted students only or non Commonwealth Assisted students only. See further information below.
• Start Date.
  Units of Study with a Census Date on or after the date specified is included within the defined submission.
• End Date.
  Units of Study with a Census Date on or after the date specified is included within the defined submission.
• Enrolment Statistics Snapshot Date is entered by the system when a snapshot is selected as a parameter during the Government submission snapshot creation process.
• Completion Date.
  The date on which the Government submission was completed.
• Comments.
  Additional information about the submission record.

• An Historical System Submission Type (PRE_2005) exists for all historical Government Snapshot Control records.

For the Commonwealth Assisted (COM_ASSIST) information to be displayed for the System Student Status, the Commonwealth Assisted check box must be selected in ENRF0161 - Maintain Government Student Status.

The Unit of Study Completion (UOS_COMP) System Submission Type is used to record the Completion Date (used in STAJ0150). The most recent 'Completion Date', for submissions with the UOS-COMP System Submission Type, is used as the 'date for comparison' of Unit of Study Completion records when identifying Revision records in STAJ0150.

Data for the Unit Completions snapshots is extracted from the Reporting snapshots, so for VS-CMP-UNT Submissions, it is important that the Submission Start/End dates entered into STAF1350 for VS-CMP-UNT Submissions coincide with those for the VS-RPT Submissions, for the same Reporting year.

DEEWR VET Submission Types are used by later processes to control VET-related snapshots and revisions. (For more information, see STAF8050.)

Start and End dates are not required for VET Revision Submissions (VS-REV).

A Submission cannot have the Completion Date set if records with a Reporting Status of RE-PROCESS exist in a Snapshot table.

The submission date range cannot overlap an existing date range for the same System Submission Type.

Validations include:

• A Government Snapshot Control record cannot be updated if the Completion Date is set other than to alter the Completion Date.
• Submissions with the same Submission Type cannot have overlapping date ranges with the exception of SCHLSHP and SCHCASIP.
• If the System Submission Type is SCHLSHP, SCHCASIP, OS-HELP, SA-HELP, SAHELP_REV, ECAF, Commonwealth Assisted, non Commonwealth Assisted or BOTH, then the Start and End Dates must be populated.
• End Date must be later than or equal to the Start Date.
• Government Snapshot Control records with an s_submission_type of COM_ASST, N_COM_ASST, SCHLSHP, SCHCASIP, BOTH_COM, SA-HELP, SAHELP_REV, or VS_RPT must have Start and End Dates equal to or within the periods 1/1 to 30/6 or 1/7 to 31/12.
• A Warning is generated if the Start and End dates of a SCHLSHP, SCHCASIP, SA-HELP or SAHELP_REV Snapshot Control records are within the ranges specified above, but do not equal 01/01/YYYY – 30/06/YYYY OR 01/07/YYYY – 31/12/YYYY.
• A submission with a System Submission Type of BOTH_COM cannot overlap dates ranges of Submission Types of N_COM_ASST and COM_ASST.
• A submission with a System Submission Type of N_COM_ASST or COM_ASST cannot overlap date ranges of Submission Types of BOTH_COM.
• An Error is generated if the Start and End dates of a SCHLSHP or SCHCASIP Snapshot Control record are not within 01/01/YYYY – 30/06/YYYY (inclusive) OR 01/07/YYYY – 31/12/YYYY (inclusive).
• Only one submission can be created in each year for a UOS_COMP System Submission Type. (i.e. Each snapshot control record with a System Submission Type of UOS_COMP, must have a unique combination of Submission Year and Submission Number.)
• The Submission Start and End Dates must be specified for System Submission Types of COM_ASST, N_COM_ASST, BOTH_COM, SCHLSHP, SCHCASIP, OS_HELP, ECAF, VS_RPT, VS_COMP_CRS and VS_COMP_UNT.
• The completion date cannot be set for submissions that contain records with a Submission Status of RE-PROCESS.
• The start and end dates for VS-CMP-CRS and VS-CMP-UNT must both be within the same year.
• A Government Snapshot Control record with a System Snapshot Type of 'SAHELP_REV' must have the same Submission Start Date and Submission End Date as a Government Snapshot Control record with a System Snapshot Type of 'SA-HELP',
