This form is used to record and maintain the set of institution-defined Discontinuation Reason Codes.

These codes are available in the List of Values (LOV) for the Discontinuation Reasons code field in the Student Unit Attempt Discontinue T-list item of ENRF3000. In CRSF2960 institution defined values are  mapped to the Government Unit of Study Status codes (E355) that an institution wants to appear in the LOV.

It is recommended that the System Reference Code Types also be used for the institution defined Reference Code Types unless the institution has a compelling reason to do otherwise.

The initial set of Govt Unit of Study Status Codes are shown in the table below.

The Student Connect Default checkbox indicates the default Discontinuation Reason Code that will be applied to a discontinued unit when a student discontinues from a course via the Discontinuation/Intermission application (DISINTAPPL) in GEN2 Student Connect after the census date.

The Callista Form Default checkbox indicates the default Discontinuation Reason Code that will be applied to a discontinued unit when a student is discontinued from a course or unit via ENRF3000, after the census date.

This form can be accessed via the Callista SMS main menu.

The Unit of Study Status block contains:

• Discontinuation Reason Code
• Description
• Government Discontinuation Reason Code
• Student Connect Default checkbox
• Callista Form Default checkbox
• Closed checkbox

To create a new Unit of Study Status:

• Enter Insert Mode.
• Enter the local name of the Discontinuation Reason Code in the Discontinuation Reason Code field of a blank record.
• Enter a meaningful description for the Reference Code Type in the Description field.
• Select the appropriate Govt Discontinuation Reason Code from the list of values (or key a valid value) in the Govt Discontinuation Reason Code field.
• Select the Student Connect and/or Callista Form Default checkbox(es), if required.
• Save.

Rules/Notes:

A new Govt Discontinuation Reason Code cannot be mapped to a CLOSED Govt Discontinuation Reason Code.
Only one Discontinuation Reason Code can have its Student Connect Default checkbox selected.
Only one Discontinuation Reason Code can have its Callista Form Default checkbox selected

A CLOSED Govt Discontinuation Reason Code cannot be the Default Discontinuation code.

To delete a Reference Code Type using the Maintain Reference Code Types form:

• Find the record to be deleted.
• Locate the cursor in the record to be deleted.
• Delete record.
• Save.

Rules/Notes:

If a Discontinuation Reason Code has been used in ENRF3000, it cannot be deleted. It can be closed, preventing any further use, by selecting the Closed checkbox.

A CLOSED Govt Discontinuation Reason Code cannot be re-opened if the System Govt Discontinuation Reason Code to which it is mapped is CLOSED.

To modify a Reference Code Type using the Maintain Reference Code Types form:

• Find the record to be modified.
• Modify the record as required.
• Save.

Rules/Notes:

If a Discontinuation Reason Code has been used in ENRF3000, the description can be modified. This is not recommended unless the change in description is minor and does not affect the meaning of the Reference Code Type. A new Discontinuation Reason Code should normally be created.

If the Default status is changed, deselect the check box for the previous current default status and select it for the new default status.

A Reference Code Type can be closed, preventing any further use, by selecting the Closed checkbox.
