The Graduation Evaluation Status is used to record Evaluation Outcomes for student course and unit set attempts. Institutions can define their own Evaluation Status values. They will be used during manual and automatic evaluation.
An administrator can use this form to define the institution’s Graduation Evaluation Statuses and map them to System Evaluation Statuses. For example, an institution can define a status of NOT APPROVED and map it to the system status REJECTED. A system default indicator is required when multiple statuses are mapped to a single system status.
An administrator can record a description of the Evaluation Status and indicate if a Decision Reason is required when that status is allocated. This description appears in the Evaluate Potential Graduand page. The user can also record reasons that will appear in a defined list of reasons during evaluation.

The System Statuses include:

• Not Evaluated - Status of a potential graduand when they are created.
• Approved - The automated completion of course and unit set details function will look for potential graduands with this status.
• Rejected - The graduand has been assessed and is not a potential graduand.
• Approved with Condition - The graduand is approved subject to passing the currently enrolled units. The user will need to stipulate all currently enrolled units or select the unit codes to be passed. The units to be passed will be saved in the potential graduand condition entity so that the automated completion process can verify that the condition has been met.
• Pending - The graduand is being assessed.

The Potential Graduand Evaluation Status block contains:

• Status
• Description
• System status
• System Default check box
• Reason Required check box
• Free Reason text check box
• Closed check box

The Potential Graduand Evaluation Status Reason block contains:

• Reason Code
• Reason Text
• Comments

Notes:

One and only one default Graduation Evaluation Status is required when one or more statuses are mapped to a single System Status.

Closed System Potential Graduand Outcome Statuses cannot be chosen.

Reason block details display for currently selected Status record.

To record a new Potential Graduand Evaluation Status:

• Go to GRDF5200
• Press F8 to change to Insert mode
• Click the cursor in the next vacant record or press F6 to create new record if required
• Record new Status and Description and select a System Status to map it to.
• Select check boxes as required
• Record reason details if required.
• Save.
