Person block

This form can be accessed in two ways - either directly from the Main Menu, or as part of the enrolment process, from the Record Enrolments form (ENRF3000), through the Disabilities button.

Accessing the Maintain Person Disability Details form directly from the menu allows the user to query details in the Person Detail block and retrieve a number of records one after the other.

If the form is accessed from ENRF3000 as a step in the Enrolment process, it opens with a Student ID carried forward as the context record. In these circumstances it is not possible to query any other person details.

Note: The person query function in this form is not as powerful as that in the Find Person form (ADMF1211). Names are case sensitive and are best avoided as query criteria. To avoid delays in retrieving records it is preferable to use Person ID numbers as query criteria.

The Person block displays details of the person for whom Disability information may be displayed and/or recorded.

For example, during the Enrolment process, the Disability details of the enrolling student can be checked or recorded by selecting the Disabilities button in the Record Enrolments form.

At other times, this form may be accessed directly. Individuals can be found (queried) in the Person block and Disability details recorded or checked.

Person Disability block

This block is used to record Disabilities for the person whose record is displayed. Disability Types are institution defined values which are maintained using the Maintain Disability Type form (ENRF01A0).

For example, Disability Types could be defined as, HEARING, INTELLECTUAL, LEARNING, MEDICAL, MOBILITY, SIGHT, etc.

 

The Person block contains:

  • Person ID
  • Sex
  • Date Of Birth

The Person Disability block contains:

  • Disability Type
  • Description
  • Start Date
  • End Date
  • Contact check box

Notes:

Disability details are reported to government.

 

 
To create a new Person Disability record for a person using the Maintain Person Disability Details form:
  • Ensure that the correct person record is displayed.
  • Navigate to the Person Disability block.
  • Enter Insert mode.
  • Select the appropriate Disability Type from the list of values (or key a valid value) in the Disability Type field.
  • Modify the Start Date if required.
  • Record the End Date if appropriate.
  • If the person wishes to be contacted by institution staff in regard to support services for this Disability, select the Contact check box.
  • Save.

Rules/Notes:

Where the recording of Person Disabilities is a mandatory step in the enrolment process, the Disability Type NONE should be used for students with no disabilities.

The Start and End Dates for a Disability Type cannot overlap.

The Disability Code recorded here will map to a Government Disability Code via ENRF01A0 and STAF112Z, and that Government Code is reported to government as E615.
Disability Start Date is reported to Government as E609 in context of the Disability Type.
Disability End Date is reported to Government as E610 in context of the Disability Type.

Disability Start Date defaults to the date the disability was recorded, but can be modified.

To modify a Person Disability record using the Maintain Person Disability Details form:

  • Find the record to be modified.
  • Change the Start or End Dates as required.
  • Change the contact indicator as required.
  • Save.

 

To delete a Person Disability record from a person using the Maintain Person Disability Details form:

  • Find the record to be deleted.
  • Locate the cursor in the record to be deleted.
  • Delete record.
  • Save.
