ADMJ9000 - Process Tribal Admissions Applications

Structure

This job transfers Admissions details from Callista SMS to Tribal Admissions.

It transfers Admission records with the following attributes:

• Admission Process Category includes the Tribal Admissions (TRIB-ADM) step
• System Outcome Status of PENDING
• Outcome Status is not equal to the ‘Exclude Admission Outcome Status from transfer to Tribal Admissions’ value defined in ADMF3210.
  This outcome status allows administrators to manually override the transfer so the record can be assessed in Callista instead of Tribal Admissions.
• Course does not have the Course Category of NO-TRIBADM
• System Admission Application Status is not equal to WITHDRAWN or COMPLETED.

The details transferred to Tribal Admissions by this job are described in Edge Admissions Data from Callista - People Details and Edge Admissions Data from Callista - Application Details.

The processing of Admission applications via Tribal Admissions is described in Callista SMS and Tribal Admissions Integration.

The parameters selected for this job control which applications are transferred to Tribal Admissions.

• To transfer a single student's application(s) enter their ID in the Person ID parameter and then schedule the job to run.
• To transfer a group of students, assemble them in an ID group (see IDGF1100), enter the ID group in the Person ID Group parameter and then schedule the job to run.
• To transfer applications in an Admission Context select values for the top set of parameters.
  For example to transfer applications for all undergraduate HECS-liable applications for the second Admission period in 2022 for NON-AWARD courses record the following parameters and then schedule the job to run:
  • Academic Period =2022
  • Admission Period =2
  • Admission Category= UNDER-HECS
  • System Admission Type =NON-AWARD.

Once an admission application has been successfully transferred to Tribal Admissions, Callista advises Edge that the application should be marked as RECEIVED and sets the Outcome Status in Callista to the ‘Admission Outcome Status for pending Tribal Admissions decision’ value defined in ADMF3210. Only on completion of the application in Edge will this status be modifed.
If an applicant’s details (such as their address or qualifications) are subsequently updated in Callista, these details will not be transferred to Edge. However if the applicant applies for another course that will be assessed through Tribal Admissions, any updates will be transferred with that new application.

This job can only be run in scheduled mode.

This job is accessed via the Callista menu.

Rules/Notes:

• Parameters can be selected from Admission Context OR Person Context but not both.
  
  
• If running the job in Admission Context, values must be selected for all Admission Context fields.
• The Academic Period and Admission Period default to the latest active calendar with a valid combination and are restricted to current and future periods.
• Admission Category and System Admission Process Type default to % (All).
• The combination of Admission Category and System Admission Process Type must be valid and the Admission Process Category must have a TRIB-ADM step.
  
  
• When running the job in Person context, the Person ID Group and Person ID field cannot both be populated.
• The job can only be run with a single value in the Person ID field.

Once the admission application has been successfully transferred to Tribal Admissions, the Outcome Status in Callista will be set to the ‘Admission Outcome Status for pending Tribal Admissions decision’ value defined in ADMF3210. Only the return transfer process from Tribal Admissions can modify this status.
If an applicant’s details (such as their address or qualifications) are updated in Callista, these details will not be transferred to Edge. However if the applicant applies for another course, any updates will be transferred with this new application.
