CRSF1130 - Maintain Course Categories

Purpose

To enable the recording and maintenance of institution-defined Course Categories.

This block is used to record and maintain institution-defined Course Categories. It provides a means of grouping a diverse set of courses which cannot easily be selected via common attributes, enabling inquiry, reporting and manipulation of courses by that category.

Course Categories can be used for specific purposes within the Statistics subsystem. For example if a course belongs to the GOVT-PW-PS (Professional Pathway Psychology degrees) or GOVT-PW-SW (Professional Pathway Social Work degrees) categories, it may impact the value that is reported to the government for Element 392 Maximum Student Contribution code in the Unit Enrolments data group.


This form is accessed from the main menu.

Note: The Maintain Course Categorisations form (CRSF1270) is used to assign a Course Category to a Course Version.

  • Course Category
  • Description
  • Closed check box
  • Skills Reform check box
  • Foundation check box

Rules/Notes:

The Skills Reform check box is used to record whether a Course Category is a 'Skills Victoria' Course Category (applicable to VET institutions in Victoria only). Different caps and charge rates apply to these course types during fee assessment.

A Student Course Attempt in a course version in a Category with the ‘Foundation’ check box selected, will generate a warning if a Prior Education Achievement of Diploma or higher is added (in ENRF30A0).
Users will also be warned in ENRF3000 for a student course attempt for a Foundation level course, where the student has a Prior Education Level of Diploma or above. This occurs under the following conditions:

  • The Course Version is in a category with the ‘Foundation’ check box selected
  • A Funding Source for the Student Course Attempt is Government Funded.
  • A Prior Education Achievement record exists for this SCA (in ADMF30A0), which is mapped to a Government Prior Education Type of 420,410 or 008.

Click on the Calendar Type Restriction button to replace the Course Categorisation block with the Calendar Type Restrictions overlay. This overlay enables you to specify the Calendar Types that will be applicable to the Course Category. For Courses with that Course Category, only Teaching calendar instances of the listed Calendar Types will be available.
For example, if Calendar Types SEM-1, SEM-2 and SEM-3 are listed for a particular Course Category then only instances of those calendars will be available for selection the Start and End periods available for selection in an Intermission application for that Course when created via DISINTAPPL or ENRW3400.

Course Category ADM-NO-MUL can be used to define courses in which multiple applications for the same course will not be allowed.

Validations:

  • The Skills Reform indicator cannot be updated when the Course Category is closed.

To create a new Course Category using the Maintain Course Categories form:

  • Enter Insert Mode.
  • Enter the desired name of the category in the Course Category field of a blank record.
  • Enter a meaningful description for the Course Category in the Description field.
  • If Calendar Type Restrictions are required, click on the Calendar Type Restriction button and select the Calendar Type for which the
  • Save.

Rules/Notes:

The Maintain Course Categorisations form (CRSF1270) is used to assign a Course Category to a Course Version.

To delete a Course Category using the Maintain Course Categories form:

  • Find the record to be deleted.
  • Locate the cursor in the record to be deleted.
  • Delete record.
  • Save.

Rules/Notes:

If a Course Category has been used in the definition of a course, it cannot be deleted. It can be closed, preventing any further use, by selecting the Closed check box.

To modify a Course Category using the Maintain Course Categories form:

  • Find the record to be modified.
  • Modify the record as required.
  • Save.

Rules/Notes:

If a Course Category has been used in the definition of a course, only the description can be modified. This is not recommended unless the change in description is minor and does not affect the meaning of the Course Category. A new Course Category should normally be created.

A Course Category can be closed, preventing any further use, by selecting the Closed check box.

To place a course version into a Course Category using the Maintain Course Categories form:

  • Ensure that the correct Course Category is selected in the Course Category block.
  • Navigate to the Course Categorisation block.
  • Enter Insert mode.
  • Select the course version from the list of values or key the Course Code in the Course Code field of a blank record. (If the Course Code is keyed and there is more than one active version of the course a list of values will be displayed.)
  • Save.

 

To delete a course version from a Course Category using the Maintain Course Categories form:

  • Find the record to be deleted.
  • Locate the cursor in the record to be deleted.
  • Delete record.
  • Save.
