General Calendar Configuration

This block is used to specify Date Aliases which have been chosen by the institution to represent non-Enrolment specific dates. Each of these System Dates is defined and their use explained in the explanation of Enrolment Calendar Configuration.

For example, if the institution determines that Census Dates will be represented by the Date Alias CENSUS, then by recording CENSUS in the Census Date Alias field in this form, the System will recognise CENSUS for any activity involving Census Dates.

Enrolment Calendar Configuration

This block is used to specify the Date Aliases which have been chosen by the institution to represent various Enrolment related System Dates. Each of these System Dates is defined and their use explained in the explanation of Enrolment Calendar Configuration.

Enrolment Dates Configuration

The Batch Pre-Enrolment job (ENRJ3100) is used to pre-enrol students. As part of the pre-enrolment process, the job determines whether or not to create the STUDSTATUS or SA-HELP Web Enrolment steps for a student as part of the self-enrolment process.

• If the student has a HECS-HELP or FEE-HELP eCAF completion record for the course, with a completion date that falls between the run-date and the run-date minus the ECAF Submission Days value (see below), then the associated STUDSTATUS is not created for the student by the pre-enrolment process. If the student has not previously submitted an eCAF for HECS-HELP or FEE-HELP for the same course, then the value in the ECAF Submission Days is ignored by ENRJ3100.
• If the student has an SA-HELP eCAF completion record for the course, with a completion date that falls between the run-date and the run-date minus the ECAF Submission Days value, then the associated SA-HELP step is not created for the student by the pre-enrolment process. If the student has not previously submitted an eCAF for SA-HELP for the course, then the pre-enrolment process (ENRJ3000) will ignore the ECAF Submission Days value.

Note: If the Government eCAF Portal integration is configured for one or more of the HE eCAF Types on the Maintain eCAF Configuration form (ENRF02A0), then the ECAF Submission Days field must be left blank (NULL) so it is ignored by ENRJ3100, as it is incompatible with the new processing through the Government eCAF Portal.

The Enrolment Dates Configuration tab contains:

Notes:

• The ECAF Submission Days field must be NULL if the Government eCAF Portal integration has been configured for one or more of the HE eCAF Types (via ENRF02A0).

To record a Census Date Alias using the Maintain System Calendar Configuration form:

• Enter the Date Alias (or select a Date Alias from the list of values) in the Census Date Alias field
• Save

Rules/Notes:

Subsystem setup data is recorded in this form. Once it is set up and in use, the data should not be modified or deleted.

To record Date Aliases representing Enrolments Subsystem 'System Dates' using the Maintain System Calendar Configuration form:

• Enter the Date Aliases (or select a Date Alias from the list of values) in each of the Date Alias fields
• Save

Enrolment setup data is recorded in this form. Once it is set up and in use, the data should not be modified or deleted.
