ENRF02A0 - Maintain eCAF Configuration

Purpose To enable integration with the Government eCAF Portal for FEE-HELP, FEE-HLP-NU, HECS-HELP and SA-HELP eCAFs.

Immediate Transfer

This form enables the institution to integrate with the Government eCAF Portal for the following electronic Commonwealth Assistance Forms (eCAFs):

  • Request for a Commonwealth supported place and a HECS-HELP Loan (HECS-HELP)
  • Request for a FEE‑HELP loan (FEE-HELP)
  • Request for a FEE‑HELP loan - Non-table higher education providers (FEE-HLP-NU)
  • Request for a SA-HELP Loan (SA-HELP)

If the Government eCAF Portal is selected for the eCAF Type, institutions will be able to transfer student records to and from the Government eCAF Portal using the Export HE eCAF Details (STAJ2080) and Import HE eCAF Details (STAJ2090) jobs.

Institutions can also elect to use an immediate processing mode via Student Connect for sending data to, and receiving data from, the Government eCAF Portal. The immediate mode will trigger the batch job for that student record, effectively enabling the student to initiate the immediate transfer of data directly from Student Connect so the student can complete the eCAF process in a timelier manner.

eCAF Configuration block contains:

  • eCAF Type
  • Description
  • Govt eCAF Portal check box
  • Closed check box

The Immediate Transfer block contains:

  • To Government check box
  • From Government check box

Rules/Notes:

If the Government eCAF Portal check box is selected for the eCAF Type, the institution can choose to enable the immediate processing mode (i.e. the ability for the student to initiate the immediate transfer of data from Student Connect) for:

  • Sending the enrolment record to the Government eCAF Portal; and/or
  • Retrieving the enrolment and eCAF record from the Government eCAF Portal.

Only one of FEE-HELP or FEE-HLP-NU can be selected for integration with the Government eCAF Portal.

In the unlikely scenario that the institution has Fee Categories mapped to loan schemes for both HECS-HELP and FEE-HELP/FEE-HLP-NU, then it is advisable to use the same method (either Student Connect or the Government eCAF Portal) for both eCAF Types to prevent issues arising from offering students a choice of eCAF Type in Student Connect.

If the Government eCAF Portal integration is configured for one or more of the eCAF Types, then the ECAF Submission Days field on the Maintain Enrolment Calendar Configuration form (ENRF01F0) must be left blank (null), as it is incompatible with the new processing through the Government eCAF Portal.
